AAAA Meeting Room Guidelines for the 2027 Annual Conference
Please review these guidelines before submitting a meeting room request.
Attendance Limits: Meetings held during CME programming are limited to 20 participants. Larger meetings may only be held outside official program hours.

Meeting space assignments will be prioritized according to the date the Meeting Space Request Form is received, support commitment level, and AAAA’s ability to accommodate the request. Space is limited.

Any direct costs associated with the meeting room (food and beverage, AV, etc.) are the responsibility of the organizers. Designated vendors must be used for all meeting needs.

All meeting activities must remain within the assigned room. Signage, displays, and welcome desks are not permitted in public areas.

One easel sign identifying the meeting may be placed outside the room at the organizer's expense. AAAA is not responsible for printing. Only corporate logos are permitted. Any promotional material must be approved by AAAA prior.

Meeting rooms are located near the general session room, making it easy to coordinate meetings alongside conference sessions.

Meetings may not be promoted as part of the official 2027 AAAA Annual Conference program.

AAAA will send you the link to pay the rental fee once the meeting room date and time are confirmed. Payment is due upon receipt of the link. All other payments will be coordinated directly with the service provider (food and beverage, AV, etc.)
Submission of a meeting room request does not guarantee availability. Room assignments and vendor arrangements are subject to confirmation.
